The Role:

Redhill School is seeking an experienced, highly professional Executive Personal Assistant (PA) to support the Executive Head. This is a critical role requiring a proactive, detail-oriented individual who can manage a complex diary, act as a gatekeeper, and serve as a liaison between the Executive Head and internal and external stakeholders, including the Board of Trustees. The Executive PA will also undertake secretarial and administrative responsibilities to ensure the smooth operation of the Executive Head’s office.

Key Responsibilities:

  • Manage and protect the Executive Head’s diary, ensuring prioritisation of tasks and meetings.
  • Serve as the first point of contact for all internal and external communications, including liaising with the Board of Trustees.
  • Draft, review, and proofread correspondence, reports, and presentations on behalf of the Executive Head.
  • Coordinate and prepare agendas, minutes, and materials for Board and senior management meetings.
  • Actively anticipate the Executive Head’s needs and provide timely information and support to aid decision-making.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Oversee and coordinate special projects, ensuring deadlines are met and quality is maintained.
  • Attend to urgent matters outside normal office hours when required.
  • Support the Executive Head in responding to queries promptly, sometimes on their behalf, after gaining the appropriate context.
  • Develop an understanding of Redhill School’s culture, processes, and stakeholders to act efficiently and independently.
  • Organise travel arrangements, event coordination, and other logistical tasks as required.

Requirements:

  • Proven experience as an Executive PA, Personal Assistant, or similar role supporting senior executives in a demanding environment.
  • Exceptional organisational, time-management, and prioritisation skills.
  • Excellent written and verbal communication skills, with the ability to draft accurate and professional correspondence.
  • Strong interpersonal skills and the ability to liaise effectively with a wide range of stakeholders, including Board members, staff, parents, and external partners.
  • High degree of discretion and integrity in handling confidential matters.
  • Proactive and resourceful, with the ability to anticipate needs and solve problems independently.
  • Ability to manage complex schedules and protect the Executive Head’s time.
  • Flexibility to work outside regular hours as required by the demands of the role.
  • Tech-savvy with proficiency in Microsoft Office Suite, calendar management tools, and digital communication platforms.
  • Quick learner with the ability to understand the operational and cultural context of the school.
