Broadacres Academy High School, situated in Chartwell, offers education to Grade 7 – 12 students, under the auspices of the IEB. We are looking for a School Administrator Coordinator to join our dynamic and innovative team.
School Administrative Coordinator
Role
The School Administrative Coordinator is responsible for running an efficient and effective front office, general school administration as well as supporting the operations team where required
Accountability
Reporting to School Operations Coordinator as well as an indirect reporting line to the Operations Manager
Area
Front office and reception
Objective
Running and efficient and effective front office and reception
Key result
Responsible for front office and reception, including:
- Managing front office processes, communication and workflow to ensure efficiency and service for staff, students and families
- Printer/telephone support and fault logging
- Reception duties (answering phone, assisting visitors, fielding info and admin email inboxes, checking and signing for deliveries).
- Managing the sickroom children, medicine cupboard stock control and classroom first aid box top-ups, termly first aid kit top-ups in sickroom
- Manage and administrate outreach projects – provide cardboard collection boxes, manage safe storage of donated items.
- Late and early leaving slips
Administrative Support
Provide excellent administrative support to enable the smooth running of the school
Responsible for administrative tasks, including:
- Printing, photocopying and collating
- Collections and delivery
- Maintenance of lost property
- Certificate printing and trophy management
- Any tasks that the School Coordinator and Operations Manager requests assistance with for the running of the school
Operations support
Provide excellent operations support to enable the smooth running of the school
Responsible for operational tasks, including:
- Bookings: halls, buses, meeting rooms
- Bus: responsible for student transportation program (where applicable)
- Updating and maintaining staff medical forms
- Staff wellness and care including birthdays, special days, bereavement etc.
- Oversee and monitor loading of invoices onto Dext for payment (invoices to be captured at source)
- Ordering of all staff uniforms (teachers, support teams, assistants, security) and annual gifts
Support the School Coordinator/Operations Manager with the following:
- Organising and managing school events (internal – students, parents, staff functions)
- Catering: all food and cafeteria activities
- Bus: student transportation program (where applicable)
- Managing all school events and functions (e.g. camps, prizegiving, functions, dances, field trips, interhouse events)
- Any tasks that the School Coordinator Operations Manager requests assistance with for the running of the school
