About Kairos
Kairos School of Inquiry is a one-of-a-kind sort of school. We are a small, values-driven, English-medium, ISASA primary school (Grades R to 7) in Parkview, Johannesburg, approximately 70 pupils and 10 teachers. Purpose of the Role
The Office Manager ensures that the daily life of the school runs with both harmony and efficiency. This role blends administrative precision with warmth and kindness – holding the operational systems, our communications and coordination. This role forms the community heartbeat of our school.

Key Responsibilities

Practical Administration & Operations

  • Coordinate daily logistical and administrative support (cleaning, refreshments, printing, copying, general admin tasks.)
  • Respond to the ad-hoc needs of our pupils, parents and teachers.
  • Ensure office equipment and consumables are adequately stocked and well-maintained.
  • Ensure all physical and digital archives are maintained securely and accurately.
  • Offers warm, friendly presence of Front of House for the school.

Communication & Secretarial Support

  • Act as the first point of contact: answer calls and emails promptly, warmly and accurately
  • Draft and distribute school newsletters, announcements and correspondence
  • Maintain the school calendar and coordinate school appointments
  • Take minutes for staff meetings and follow up on actions agreed.
  • Maintain clear, consistent communication systems between staff, parents and leadership
  • Monitor and follow up on actions agreed between management staff.

Bookkeeping & Financial Administration

  • Liaise with parents regarding invoices and queries
  • Capture and upload bank payments for approval.
  • Maintain confidentiality and accuracy in all financial matters

Admissions & Marketing Support

  • Maintain accurate systems for enrolments and future projections
  • Support and liaise with the Heads of Marketing and Operations on their roles.
  • Schedule meetings between parents, pupils and teachers
  • Assist with enrolment documentation and communication
  • Track enrolment planning and records

What You Bring

  • Approximately 3-7 years of administrative or office management experience.
  • Strong organisational, planning, and multitasking ability
  • Excellent written and verbal communication skills in English.
  • Competence with computers will be an advantage.
  • Attention to detail, conscientious and loyal, organised, reliable, friendly and kind.
  • Warm, professional presence; able to balance empathy with efficiency
  • Integrity, adaptability and discretion in handling confidential information
  • Any experience in a school or child‑centred environment will be an advantage.
